It is NEMA's intention to conduct a successful meeting while also keeping everyone as safe as possible. A great deal of thought and preparation has gone into determining the guidelines under which the meeting should proceed. We understand that some of these rules may seem overly cautious but under the circumstances the NEMA staff and leadership believe it's better to proceed with an abundance of caution. We ask for your cooperation, patience and understanding as we try to navigate a large meeting safely. All participants will be expected to follow the Safe & Successful Meeting Guidance, CDC Guidelines and agree to the Code of Conduct, Terms and Conditions when you register. Please read them carefully and mindfully. 

Here are some of the ways we'll be working to keep everyone safe:
NEMA will not provide handouts. All materials will be on the website and in the app. Registration will be contactless with pre-check in via a QR code.
NEMA encourages everyone who is medically able to get vaccinated and boosted.
Masks are recommended for travelers from High Community level areas, those at higher risk and with small children at home.
Physical distancing will be observed in seating, isles, hallways, exhibits and meals.

Fist bumps, elbow taps, chin lifts are  encouraged.
Handshaking is sooo 2019!

Sanitizing stations will be set up throughout the meeting area.
If you are unable to be vaccinated, get tested before you leave home. If positive, or you have a fever, we'll miss you but STAY HOME!

If someone becomes ill on-site, confidential medical assistance will be available. 

NEMA respects and will protect the privacy of every participant.

*Additional precautionary measures may be added. Please be sure to carefully read all forum correspondance for guidance and instructions and check the website regularly for updates. Should a forum participant test positive within ten days after the forum, please email symptoms.nema@csg.org so that professionals can perform contact tracing.

Final Exhibit Floorplan
Exhibits will be set up in the foyer outside the Plaza Ballroom of the Hilton Alexandria Mark Center. For orientation, the Registration Office is between exhibits 22 and 23, the doors leading into general session, committees, and workshops are between exhibits 12 to 16. The meal room is down the hall between exhibits 6 and 7. The elevators are around the corner from exhibit 23 and escalators are near exhibit 1.
 
We ask that exhibitors offer electronic versions of written materials and all giveaways, should they be offered, be packaged, or easily sanitized.
 
The Forum agenda, hotel information, health safety guidelines, and other important information are on the NEMA Mid-Year Forum webpage.
 
Attendee List
The pre-forum attendee list will be sent to all sponsor pre-planning contacts on March 21.
 
Forum Registration
Please see your designated pre-planning contact for registration information.  You must register by MARCH 11 in order to receive your complimentary registration. Even comps will be subject to late fees so don't delay!

Banners

Platinum and Gold sponsors may provide a banner to be hung in the General Session room. The banner must not exceed 4 feet (48 inches) in width or height. Banners may be dropped off at the registration desk no later than noon on March 28. NEMA staff will arrange for banners to be hung and taken down in the General Session room. Banners can be retrieved from the registration desk on March 30.

New State Director Welcome Reception
Platinum sponsors receive 2 invitations to an exclusive reception with the state emergency management directors. Please email Karen the names of your representatives by March 1. This is a closed reception and anyone not on the invitation list will not be admitted. No additional invitations will be issued. 

Important Dates and Deadlines
To realize the full benefit of NEMA sponsorship, sponsors should note all deadlines associated with the forum. A list of important dates and deadlines is below. All dates are subject to change. The pre-planning contact for each sponsor will be notified of changes if they occur and with reasonable notice to respond; however, missed deadlines will result in loss of benefits or opportunities. Please note these dates on your calendar.

Important Notices

  • Submitting your registration and payment constitutes an agreement on your part to accept the NEMA Forum Code of Conduct, Terms and Conditions. PLEASE READ THEM CAREFULLY.
  • Please reserve only the number of hotel rooms to accommodate confirmed forum attendees. Past forums have seen the room block fill very early, necessitating an overflow hotel be contracted, only to see large numbers of cancellations at the original hotel just prior to the forum. This makes NEMA vulnerable to fees for not meeting the room block and inconveniences other forum attendees who are forced to stay at different hotels. Your cooperation in this is appreciated. Payment in full prior to the forum is required. Credentials and forum materials will not be assigned to those with outstanding fees.
  • Cancellations received in writing prior to March 11, 2022, will receive a refund less a $250 administration charge.
  • Registration fees for cancellations received after March 11, 2022, will not be refunded.
  • Registrations are transferable.
  • You will be given a confirmation number at the end of your registration that serves as your proof of registration. If you do not receive a confirmation number, please contact NEMA as you will *NOT* be registered for the conference.
