NEMA conferences are made possible by the generosity and support of our sponsors and exhibitors. To ensure the high quality of the conferences and to provide the best networking opportunities, the number of sponsors and exhibitors is deliberately limited. The numerous benefits to organizations who participate in the program include added visibility, increased name recognition, and building awareness of products and services. Additional advantages during the conference include an exhibit table, webiste visibility and signage. As an added benefit, a reception will be held in the exhibit area during the conference to give conference attendees an additional opportunity to visit the booths and speak with the sponsors and exhibitors.
Due to limited availability, sponsorships sell out very quickly. Availability will be posted to the NEMA website and updated often; however, sponsorships may sell out without notice. Sponsorships are available to NEMA members in good standing* exclusively for a period of time before they are made available to the general public. Applications are accepted on a first-come, first-served basis.
NEMA conference sponsorships are divided into the categories of Platinum, Gold, Silver and Hospitality Suites. The benefits and details specific to each are listed below.
Benefits include two (2) conference registrations at no charge, exhibit table, 2 tickets to an exclusive reception with state emergency management directors, company name displayed on signage, organization logo displayed on NEMA website, organization logo displayed on conference app, company listing and website link on conference app, pre- and post-conference attendee list and recognition of your sponsorship by NEMA president. In addition, your company banner will be hung in the General Session room (banner provided by sponsor).

Exhibit Opportunities for Non-Sponsors
Exhibit space for non-sponsors is limited and is offered on a first-come, first-served basis to NEMA members exclusively for a period of time before they are made available to non-members.
Along with the exhibit space, each exhibitor will receive one complimentary conference registration and the company logo listed in the conference materials. Tabletop displays and 10-foot pop-up booths only, please.
The cost for exhibit space for NEMA members is $2,000. The fee for non-NEMA members is $3,000. Conference sponsors are automatically eligible for an exhibit space and need not apply separately.
Conference Registration for Sponsors
Each sponsorship includes two (2) complimentary conference registrations. The complimentary conference registration allows access to all open conference events. Individual tickets for meals are not available. Additional complimentary registrations will not be assigned. All additional attendees must register for the conference at the prevailing rate. No exceptions will be made.
Optional Additional Exhibitor Registrations
In order to accommodate additional attendees who come to assist with the exhibits, NEMA has created a 2-day exhibitor registration. This 2-day pass will allow attendees full access, including meals and receptions on the days the exhibition is open. The cost is $300 per person. There is a limit of three such registrations per exhibitor. Exhibitor registrations may be added by e-mailing full contact information and method of payment for each individual to firstname.lastname@example.org.
A preliminary conference schedule is available on the NEMA website and updated often. Changes to the schedule or arrangements are occasionally necessary, and NEMA staff will notify the pre-planning contact listed on the sponsorship and exhibitor contracts of changes to the schedule that affect exhibit hours and days as soon as the changes occur. The pre-planning contact is responsible for notifying affected staff from the sponsoring and exhibiting companies of these changes. It is highly recommended that all affected staff check the NEMA website often for updates and changes to the schedule.
Exhibits are located in the meeting room foyer area. Exhibit spaces are 10 feet wide by 8 feet deep and will not be pipe and draped. The space will include a 6-foot table, 2 chairs and a wastebasket. Electrical service and other items must be ordered through the facility and are at the sponsor’s expense. Additional information will be provided when available.
A deposit of 50% is due on Silver, Gold and Platinum sponsorships with the signed application to reserve a sponsorship. The balance is due 8 weeks prior to the conference. Hospitality Suite fees and exhibitor fees are payable in full with the signed application. NEMA accepts VISA, MasterCard and American Express for deposits and payments. If you are faxing your application and payment will be sent separately, please reference the check number on your application.
Logos must be submitted in a high resultion JPEG format. No other formats may be used. Logos should be sent electronically to Karen Cobuluis, NEMA meeting and marketing coordinator.
Platinum and Gold sponsors may provide a banner to be hung in the General Session room. The banner must not exceed 4 feet (48 inches) in width or height. Banners may be dropped off at the registration desk no later than noon one day prior to the General Session. NEMA staff will arrange for banners to be hung in the General Session room. Banners may be retrieved from the NEMA registration desk following the conclusion of the General Session.
Important Dates and Deadlines
To realize the full benefit of NEMA conference sponsorship, sponsors and exhibitors should note all deadlines associated with the conference. A list of important dates and deadlines will be listed on the website and e-mailed to confirmed sponsors and exhibitors. All dates are subject to change. The pre-planning contact for each sponsor will be notified of changes in advance and with reasonable notice to respond; however, missed submission deadlines will result in loss of benefits or opportunities.
