Conference Sponsorship and Exhibits
The purpose of NEMA Conferences is to give emergency management professionals an opportunity to network with peers from across the country, learn through targeted workshops on successful programs, meet with members of Congress who impact emergency management programs, interact with federal partnersand offer input and improvements to federal programs that directly affect emergency management.
Attendance at NEMA conferences is varied but represents all areas of the emergency management profession. State emergency management directors, executive staff, local emergency managers, corporations, organizations, and academia constitute the attendance. The average size of the conference is 375 people and state, federal and local emergency management personnel represent approximately 66% of the registered conference attendees. On average 48 of 56 state, district and territorial emergency management directors attend NEMA conferences.
NEMA Conferences are made possible by the generosity of our sponsors and exhibitors and to ensure quality networking opportunities, the number of sponsors and exhibitors is deliberately limited. Benefits of sponsorship include added visibility, increased name recognition, and building awareness of products and services. Additional benefits include an exhibit table, company name or logo in the conference materials and signage at the Conference. As an added benefit, a reception will be held in the exhibit area during the conference to give conference attendees an additional opportunity to visit the booths and speak with the sponsors and exhibitors.
Due to limited availability, sponsorships will sell out quickly. Remaining sponsorships will be posted to the NEMA website and updated often; however, sponsorships may sell out without notice. Sponsorships are available to NEMA Members in good standing exclusively until conference attendee registration opens. After that time sponsorships will be open to non-members. Platinum Sponsor $10,000 each
Two Conference registrations at no charge, exhibit table, company name displayed prominently on signage, 1 page black and white advertisement in conference materials booklet, pre- and post-conference attendee list, recognition of your sponsorship by NEMA President. In addition, your company banner will be hung in the General Session room (banner provided by sponsor).
Gold Sponsor $7,500 each
Two Conference registrations at no charge, exhibit table, company name displayed on signage, 1/2 page black and white advertisement in conference materials booklet, pre- and post-conference attendee list, and recognition of your sponsorship by NEMA President during General Session. In addition, your company banner will be hung in the General Session room (banner provided by sponsor).
Silver Sponsor $5,000 each - SOLD OUT
Two Conference registrations at no charge, exhibit table, company name displayed on signage, black and white logo in conference materials booklet, pre- and post-conference attendee list, and recognition of your sponsorship by NEMA President during General Session.
Hospitality Suite $1000 each (limited to one per night) - SOLD OUT
Two Conference registrations at no charge, signage at your event, your company name listed in sponsor area of the agenda, exhibit table, black and white logo in conference materials booklet, pre- and post-conference attendee list, recognition of your sponsorship by NEMA President during General Session. Sponsors of the Hospitality Suite will pay the above fee to NEMA to secure the suite; however, all other costs, menu items and expenses will be the responsibility of the sponsor and will be paid by the sponsor directly to the hotel. Minimum food and beverage requirements are a fully stocked, open bar with alcoholic and non-alcoholic beverage choices and snacks during the hours listed in the conference agenda. Additional food items can be added at the sole discretion of the sponsor. All food and beverage for the Hospitality Suite must be purchased from the hotel. No outside food and beverage is permitted. Live entertainment is not permitted. All arrangements are subject to approval by the NEMA staff.
Exhibits Opportunities for Non-Sponsors
Non-Sponsor Exhibits for the NEMA 2010 Annual Conference are SOLD OUT
Exhibit space for non-sponsors is very limited and will be offered on a first come, first served basis to NEMA members exclusively for a specified period of time. Applications from non-members of NEMA will be accepted after that, also on a first come, first served basis. Like the sponsorships, exhibit spaces are limited and will sell out very quickly.
Along with the exhibit space, each exhibitor will receive one complimentary conference registration and the company logo listed in the Conference materials. Table-top displays and 10 foot pop-up booths onlyn please.
The cost for exhibit space for NEMA members is $2,000. The fee for non-NEMA members is $3,000. Conference sponsors are automatically eligible for an exhibit space and need not apply separately.
Conference Registration for Sponsors
Each sponsorship includes two complimentary conference registrations. The complimentary conference registration allows access to all open conference events. Individual tickets for meals are not available. Additional complimentary registrations will not be assigned. Any and all additional attendees must register for the conference at the prevailing rate. No exceptions will be made.
Optional Additional Exhibitor Registrations
In order to accommodate additional attendees who come to assist with the exhibits, NEMA has created a 2 day Exhibitor Registration. This 2 day pass will allow attendees full access, including meals and receptions during the 2 day exhibition. The cost is $275 per person. There is a limit of 3 per exhibitor. Exhibitor Registrations can be added any time before the registration deadline by emailing full contact information and form of payment for each individual to Vicki Carothers at vcarothers@csg.org.
Conference Schedule
A preliminary Conference schedule will be available on the NEMA website and updated often. Changes are often necessary to accommodate speaker schedules or changes to space availability. NEMA staff will notify the pre-planning contact listed on the sponsor and exhibitor contract of changes to the schedule which effect exhibit hours and days as soon as they occur. It is the responsibility of the pre-planning contact to notify affected staff from the sponsoring company of these changes. It is highly recommended that all affected staff check the NEMA website often for updates and changes to the schedule.
Exhibits
Exhibit spaces are 10 feet by 10 feet and will not be pipe and draped. The space will include a 6-foot table, 2 chairs, and a wastebasket. Electrical service and other items must be ordered through the hotel at the sponsor’s expense. Additional information will be provided when available.
Advertisements and Logos
Advertisements and logos must be in black and white and submitted in an PDF, EPS or TIF format that is 300 DPI or better. If they are not submitted in this manner, they cannot be used. Advertisements should be sent electronically to kcobuluis@csg.org by a specified date. Ads and logos not received by that date will not be included. A full-page ad is 5 inches wide by 8 inches tall; half page ads are 5 inches by 4 inches tall.
Banners
Platinum and Gold Sponsors may provide a banner to be hung in the General Session room. The banner must not exceed 4 feet (48 inches) in width or height. Banners will be collected at the Conference Registration desk and returned there for pick up following the general session. NEMA staff will arrange for it to be hung in the General Session room.

Important Dates and Deadlines
To realize the full benefit of NEMA Conference sponsorship, it is very important to make note of all deadlines associated with the Conference. A list of important dates and deadlines is below. All dates are subject to change. The pre-planning contact for each sponsor will be notified of changes in advance and with reasonable notice to respond, however, if submission deadlines are missed it will result in loss of benefits or opportunities all together.
