Sponsor Program

NEMA forums are made possible through the generosity and support of our sponsors.

We deliberately limit the number of sponsors to ensure the best networking opportunities between state staff and private sector partners. Sponsoring NEMA forums offers access, opportunity, and high visibility. Sponsors will increase company name recognition, and have the opportunity to build awareness for products and services through direct access with state emergency managers, state staff as well as other corporate and organizational partners. This type of direct access to state emergency management professionals doesn’t exist outside of NEMA.

All sponsors receive an exhibit space, two complimentary full forum registrations, company logo included on forum webpage, link to the company website, information messaging and listing on the forum app. In addition, the company name will be listed on sponsor signage at the forum. A reception and networking breaks will be held in the exhibit area giving forum attendees and the NEMA leadership additional time to network with sponsors. The NEMA president will recognize all the sponsors during the Sponsor Reception. Additional benefits are assigned to each sponsorship type.

Due to limited availability, sponsorships sell out very quickly. Availability will be posted to the NEMA website and updated often; however, sponsorships may sell out without notice. Sponsorships are available to NEMA members in good standing* exclusively and applications are accepted on a first-come, first-served basis.

NEMA forum sponsorships are divided into the categories of Diamond, Platinum, Gold, Silver, Bronze and Hospitality Suite. The benefits and details specific to each are listed above.

Sponsor Forum Registration

Each sponsorship includes two (2) complimentary forum registrations. The complementary forum registration allows access to all open forum events. Individual tickets for meals or events are not available. 

Additional complimentary registrations will not be assigned. All additional attendees must register for the forum at the prevailing rate. No exceptions will be made.

Optional Additional Exhibitor Registrations
To accommodate additional attendees to assist with the exhibits, NEMA offers a 2-day exhibitor registration at a discounted rate. This 2-day pass will allow registrants full access, including meals and receptions, on the days the exhibition is open. There is a limit of two per sponsor. Exhibitor registration procedures will be sent to the pre-planning contact for each confirmed sponsor.

Schedule

A preliminary forum schedule is available on the NEMA website and updated often. Changes to the schedule or arrangements are occasionally necessary, and NEMA staff will notify the pre-planning contact listed on the sponsorship and exhibitor contracts of changes to the schedule that affect exhibit hours and days as soon as the changes occur. The pre-planning contact is responsible for notifying affected staff from the sponsoring and exhibiting companies of these changes. It is highly recommended that all affected staff check the NEMA website often for updates and changes to the schedule.

Exhibits

Exhibits are located near the meeting rooms. Exhibit spaces are 10 feet wide by 8 feet deep and will not be pipe and draped. The space will include a 6-foot table, 2 chairs and a wastebasket. Electrical service and other items must be ordered through the facility and are at the sponsor’s expense. Additional information will be provided when available.

Hospitality Suite

The Hospitality Site is open to all NEMA Forum registered attendees. The suite is considered a forum activity and will be listed on the forum agenda. Sponsor agrees to provide a full, open bar and food for the length of time the suite is open. Sponsor may set up a table in the suite for handouts, giveaway or other items. NEMA will assign the room however all related costs including those for food, beverage, entertainment, equipment, or other expenses are the responsibility of the sponsor. No booth in the exhibit area will be assigned to this sponsorship. The sponsor will arrange payment directly to the hotel. Menus must be submitted for approval by NEMA staff 30 days prior to the event.

Fees

A deposit of 50% is due with the signed application to reserve a sponsorship. The balance is due 8 weeks prior to the forum. NEMA accepts VISA, MasterCard and American Express for deposits and payments. If you are sending your application via email and payment will be sent separately, please reference the check or purchase order number on your application.

Company Logos

Logos must be submitted in a high resultion PNG format. No other formats may be used. Logos should be sent electronically to NEMA staff.

Important Dates and Deadlines

To realize the full benefit of NEMA sponsorship, sponsors should note all deadlines associated with the forum. A list of important dates and deadlines will be sent to the pre-planning contact and listed on the forum page of the NEMA website. All dates are subject to change. The pre-planning contact for each sponsor will be notified of changes in advance and with reasonable notice to respond; however, missed deadlines will result in loss of benefits or opportunities.

Submitting your registration and payment constitutes an agreement on your part to accept the NEMA Forum Code of Conduct, Terms, and Conditions, which can be found on the forum webpage. PLEASE READ THEM CAREFULLY.
